Privacy Policy

Doorwell provides AI voice agents that make and answer maintenance-related phone calls on behalf of residential property management companies. This page explains what data we handle, why, and the choices you have. We have tried to keep it short and in plain English.

Our role

Our customers are property management companies. When Doorwell processes information about their tenants, vendors, and properties, we act as a service provider on the customer's instructions — the property management company controls that data. If you are a tenant or vendor with questions about your information, your property manager is the right first contact, and we will assist them with any access or deletion request.

What we collect

Dashboard accounts. Name, email address, and sign-in activity for the property management staff who use our dashboard.

Call data. Recordings, transcripts, and summaries of calls our agents make or answer, along with phone numbers and call metadata. Every call begins with a disclosure that it is recorded, and our outbound agents identify themselves as AI assistants calling for the named property management company.

Property and work data. Work orders, vendor contact details, and related records that our customers enter in Doorwell or sync from their property management software.

How we use it

We use this data to operate the service: triaging maintenance issues, coordinating with vendors, escalating emergencies, and keeping our customers' records up to date. We do not sell personal information, and we do not use it for third-party advertising.

Text messages

Doorwell sends operational text messages only — alerts to property management staff, job details to vendors, and confirmations to tenants. We do not send marketing texts. Mobile phone numbers and text-message opt-in and consent information are never shared with, or sold to, third parties or affiliates for marketing or promotional purposes.

Consent is collected per audience: staff are enrolled by their own company's administrator, vendors agree to automated coordination calls and texts when the property manager adds them to its vendor roster, and tenants are asked before we text the number they provide on a call. Message frequency varies with maintenance activity, and message and data rates may apply. Reply STOP to any Doorwell text to opt out, or reply HELP or email hello@doorwell.ai for help. Opting out of texts does not stop maintenance coordination — phone calls and the dashboard continue to work.

Where it lives

Doorwell runs on United States infrastructure. We rely on a small set of subprocessors to deliver the service: Vercel (application hosting), Supabase (database and file storage), Retell (voice AI), Twilio (text messaging), and Resend (email). Data is encrypted in transit and at rest, and access within Doorwell is scoped to each customer organization.

Retention and deletion

We retain customer data while the customer's account is active. Customers can request deletion of their data — including call recordings and transcripts — at any time, and we honor verified requests from tenants and vendors routed through the responsible property management company.
